What is a virtual classroom, and how is it different from a video conferencing tool like Zoom or Google Meet?

A virtual classroom is an online tool built specifically for teaching a live lesson — a shared room where you and your students meet in real time with the tools an actual lesson needs: an interactive whiteboard, a way to share and mark up materials, activities the student can do (not just watch), and usually some form of student-facing engagement layer like rewards, avatars, or a shared space. A video conferencing tool like Zoom or Google Meet, by contrast, is built for adult business meetings — talking heads, one shared screen at a time, and everything else you might want in a lesson bolted on from other apps. Both let you see and hear your student. Only the virtual classroom is designed to let you teach one.

For independent tutors and small-group teachers, the practical difference shows up around the fifteen-minute mark of a lesson with a young learner — the point where the video-call model runs out and the student's attention starts to wander. A virtual classroom holds attention past that point because it gives the student something to do in the room, not just something to watch on it.

The four things a virtual classroom has that a video call does not

The category is defined by four capabilities, in rough order of how often they show up:

  • An interactive whiteboard, not a shared screen. A virtual classroom's whiteboard is a shared canvas both the teacher and the student can draw on, type on, and move objects around on. You can upload a PDF or a slide deck and turn it into the lesson surface — the student annotates the same page you're teaching from. A video call, by contrast, gives you screen-share: one person's screen is displayed to everyone else, and only that person can act on it. The gap between the two shows up the first time you try to teach a five-year-old to write a letter on a shared Zoom screen and realize they have no way to hold the pen.
  • Activities the student can act on. A virtual classroom lets a student drag, drop, sort, match, click, and type on the material. It might be a phonics activity where the student drags letters into words, a math activity where they position blocks on a number line, or a live web activity you're doing together. A video conferencing tool gives the student one thing to do: talk when unmuted. Everything else has to happen through the teacher's screen, which limits pacing and puts the student in the audience.
  • An engagement layer built for younger students. Rewards, points or gems, avatars, a shared space they can be present in as a character rather than a face on a webcam. A video call is a face-on-webcam interface — reasonable for adults on focused work, but the wrong shape for a seven-year-old who's on lesson eight of the same week. A virtual classroom gives the young learner a reason to want to come back, which is where most of the retention math lives for an indie tutor.
  • A workflow layer around the lesson itself. Scheduling parents can book against; invoicing that generates the receipt; a room link that persists between lessons; recording (usually on the paid tier); a place to store activities and lesson history. A video conferencing tool gives you a meeting URL. Everything else — the calendar, the invoice, the recording, the activity storage — you assemble from other apps. A real virtual classroom assumes this workflow is the job, not an add-on.

Not every virtual classroom ships all four in the same depth. A whiteboard-first classroom (strong shared canvas, weaker engagement layer) is a good fit for teenagers and STEM subjects; an engagement-first classroom (strong shared space and rewards, whiteboard as one tab among several) is a better fit for K-8 and language learning. When we say "virtual classroom" as a category we mean the software has all four capabilities to some meaningful depth. What "virtual classroom" is not

The phrase gets used loosely, so it's worth naming three things that are called virtual classrooms and actually aren't:

  • A video conferencing tool with a whiteboard feature toggled on. Zoom's built-in whiteboard, Google Meet's Jamboard integration, Microsoft Teams's whiteboard — these are useful, but the shape is still "meeting first, teaching bolted on." The meeting screen is what dominates the interface; the whiteboard is a tab. For lecture-heavy lessons with adults this is fine. For interactive lessons with kids it usually falls short of what an actual virtual classroom does, because the primary surface is a video grid.
  • A learning-management system (LMS). Google Classroom, Canvas, Blackboard, Moodle, Schoology — these are async-assignment-focused platforms. The teacher posts work, the student submits work, the teacher grades work. That's a valuable workflow, but it isn't a live classroom. If you want to teach a live lesson through an LMS you have to add either a video call (Google Meet) or a virtual classroom to it.   • A slide-based lesson delivery tool. Nearpod, Pear Deck, Kahoot — these are excellent for adding student-response interactivity to a slide deck. But they don't ship a live video room, a persistent whiteboard, or a scheduling and invoicing layer. They're a lesson layer, not a classroom. Many teachers pair one of these with a video call plus a scheduler plus an invoicer — which is often exactly the stack a real virtual classroom replaces.

When you actually need a virtual classroom (and when a video call is fine)

Not every teacher needs a full virtual classroom. A short decision rule that holds up in practice:

  1. Ages under 12: usually virtual classroom. The engagement layer matters. If your students are 4-10, especially if their parents are paying you specifically because "school is on Zoom and it isn't working," a virtual classroom is doing real teaching work you can feel in retention.
  2. Ages 13-17: it depends on the subject. Language and reading benefit from the shared surface and the engagement layer. Test prep, physics, and math can go either way — some tutors do fine with a clean whiteboard + video call, others get value from the persistent room and workflow layer even without heavy engagement mechanics.
  3. Adult 1-on-1 conversation or focused-work clients: often a video call is enough. A business-English learner or an adult IELTS student doesn't need an avatar. If your lesson is mostly talking and a shared document, Zoom or Meet plus a shared Google Doc covers it. You lose the workflow layer (scheduling, invoicing, activity storage) which is real friction over time — many tutors add a virtual classroom for that reason alone once they hit 5-10 recurring students.
  4. You're running a business that will keep teaching the same students for months: virtual classroom, almost always. The workflow-layer math tips the decision even if your subject and student age would let you use a video call. Why video conferencing was never quite right for teaching kids

Zoom, Google Meet, and Microsoft Teams shipped originally as tools for grown-ups meeting each other for work. The interface reflects that: a grid of faces, one screen shared at a time, a chat pane, and not much else. The muscle memory is meeting muscle memory — mute yourself, unmute yourself, share your screen when it's your turn.

None of that was designed against the reality of teaching a seven-year-old for the fifth time this week. Seven-year-olds don't need a mute button; they need something to do. A video call gives them one thing to do — talk when unmuted — and one thing to look at — a face on a grid. The lesson has to do all the work of holding attention with no help from the tool. Most tutors who moved from in-person to Zoom during the 2020 remote-teaching push discovered this within a month, and either patched it (an iPad app for interactivity, a whiteboard tab, a rewards spreadsheet the parent could see) or lost the students.

Virtual classrooms exist because that patching didn't scale. Once you're running 20 lessons a week, the assembled stack of "video call + whiteboard app + activity app + scheduler + invoicer + reward spreadsheet" costs more time to run than the teaching itself, and each seam between tools is a place where something breaks — the wrong parent can't find the link, the whiteboard didn't save, the invoice went out in the wrong currency. How much does a virtual classroom typically cost?

Pricing splits roughly into three bands. The exact numbers drift, so treat these as shapes rather than quotes:

  • A meaningful free tier exists on some virtual classrooms (Koala Go's included) — enough to run real lessons at small group sizes and volumes without paying. Free tiers usually come with a cap somewhere: student count per session, activity storage, cobrowser session length, or the presence of an ad on the free-tier interface. The point of a real free tier is that you can teach paid lessons on it while you decide whether the paid tier earns its price.
  • Independent-tutor paid tiers tend to sit in the $20-$50 per month range and are calibrated for one working tutor. Both usually swamp the subscription price by a wide margin once you're at more than a handful of students — which is the point.
